Knowledge base

The knowledge base is how Karo knows about your venue. Everything in it — your address, accessibility information, policies, FAQs, and documents — becomes available to the agent when answering visitor questions.

Go to Knowledge base in the sidebar to access the editor.

Sections

The knowledge base editor is split into steps. Work through each one.

Step 1 — Visitor info

Core venue information: name, address, Google Maps link, getting here, accessibility, facilities, house rules, venue description, and contact details.

This is the most important section to fill in thoroughly. Getting here, accessibility, and facilities are among the most commonly asked questions in any venue chat.

Step 2 — Policies

Your venue's policies: cancellation and refund policy, accessibility policy, safeguarding, sustainability, dining packages, and dining policies.

Write these in plain language, as if you're explaining them to a visitor in person. Karo will paraphrase them in conversation.

FAQs — Add any question-and-answer pairs that don't fit neatly into the other sections. There's no limit on the number of FAQs.

Key links — Important URLs Karo should be able to surface: your booking page, accessibility information page, membership page, etc. Give each link a clear description of its purpose.

Step 4 — Additional information

A freeform text field for anything that doesn't fit elsewhere. Use it for seasonal information, special event notes, or anything specific to your venue.

Step 5 — Files

Upload supporting documents: PDFs, text files, or CSV files. Karo uses the content of these files to answer questions.

  • Maximum 5 files
  • Maximum 50 MB per file
  • Maximum 256 MB total

Good files to include: your full accessibility guide, a printed FAQ document, a season brochure with descriptions.

Step 6 — Preview and history

Preview what the compiled knowledge base looks like before saving. You can also see previous versions here — Karo keeps the last 5 revisions, and you can restore any of them.

Saving and syncing

When you save your knowledge base, Karo builds a new version and syncs it to the AI system in the background. A status indicator shows whether the sync is in progress or complete.

Changes take effect as soon as the sync completes — usually within a minute or two.

AI optimisation

Each field in the knowledge base has an Optimise button. Click it and Karo will rewrite the text in a format that works better for AI understanding — clearer, more structured, and more likely to produce accurate answers.

This is available to all users. It's particularly useful if you've pasted content in from another source and want to clean it up.

AI optimisation rewrites your text. Review the result before saving — it should be more structured, but make sure it still accurately reflects your venue's information.

Deep research onboarding

When you're setting up Karo for the first time, SynapTix can use a research tool to automatically pull key information from your website and pre-fill your knowledge base. This is free — just ask your account manager to run it for you during onboarding.
